Druck Center Meckenheim says goodbye to paperwork
"Previously, the start and end of working hours were recorded using time sheets. This entailed time-consuming paperwork, followed by time-consuming manual input into the payroll accounting system."
Wilhelm Weber
Senior Managing Director, DCM Druck Center Meckenheim GmbH
DCM Druck Center Meckenheim GmbH is also known as "the green print shop": Well-trained staff and modern machines in an ecological new building are the basis for environmentally friendly print production. Using a wide variety of printing processes, color is put on paper in a nature-conscious way.
In March 2009, DCM moved into its new building in the Kottenforst industrial park in Meckenheim and put the completely new machinery into operation. In addition to a modern building, a modern time recording and access control system was also essential. Senior Managing Director Wilhelm Weber remembers: "Previously, the start and end of work were recorded using time sheets. This entailed time-consuming paperwork, followed by time-consuming manual input into the payroll accounting system. Access was granted using a conventional metal key, which did not allow for easy administration or simple changes to access authorizations.
The Druck Center became aware of timeCard premium plus DES during a market analysis. The time recording system with integrated access control is completely geared towards the needs of small and medium-sized companies and offers a valid database for calculating wages and salaries. After testing the software using a demo version, the business and IT management were convinced by timeCard. The hardware and software were installed and ready for use within three hours.
Today, five award-winning multi-terminals at DCM record not only the start and end of the working day, but also breaks and reasons for absence, such as flexitime and vacation days, completely electronically and down to the minute. The times are transferred directly to the payroll accounting program via an interface and can be further processed here, providing a detailed overview of all working time accounts
including vacation, training or sick days. As the company's hourly-paid cleaning staff are also equipped with a chip card for timeCard, their payroll accounting is now also completed in no time at all.
Print Center employees gain access by holding their RFID transponder or RFID card in front of the two external readers located at the personnel and goods entrance. Thanks to Mifare DESFire technology, the electronic key and the reader can communicate contactlessly. To ensure that the data cannot be read and misused by third parties, it is transmitted in encrypted form to the same level as is usual with EC cards.
"Our conclusion: time recording and access control have complemented each other seamlessly!"
Wilhelm Weber
Senior Managing Director, DCM Druck Center Meckenheim GmbH
DCM can now seamlessly document and monitor all access and access attempts. If an unauthorized person attempts to enter the building, timeCard users are informed by a silent alarm. If a transponder or card is lost, it can be blocked immediately at the click of a mouse. With regard to access authorizations, a distinction is made between four groups that are authorized to access the building at different times: shift workers, external workers, administration and management. Each employee is assigned to a group and therefore only has access to the building at certain times.
Once the print shop personnel had been entered in the timeCard time recording system, they were also immediately available for access control, as a central database is used for this purpose. "... time recording and access control have therefore complemented each other seamlessly," concludes Mr. Weber. Time recording is managed by the HR department and access control by the administration department. These people were familiarized with the system in a one-day in-house training course by REINER SCT. The introduction of timeCard ultimately meant a clear reduction in workload for them. A lack of transparency and cumbersome paperwork are now a thing of the past at Druck Center Meckenheim.
