The components

These components are required for the full use of the timeCard AU is required:

  • A licensed timeCard time recording system
  • A basic license and an annual license for timeCard AU
  • The "dakota" data transfer module incl. certificate*
  • Supplied in the installation file for the timeCard
  • The certificate incurs additional costs
  • A certificate is valid for three years and must then be renewed*
  • A separate sender number is required*
  • Protection against double use of the actual company number

How will the AU procedure work in future?

  • From 01.01.2023, the certificate of incapacity for work must be retrieved digitally by employers from the central server of the statutory health insurance fund
  • From then on, the sick note in paper form (the "yellow slip") will only be available as personal proof for the insured person
  • A phone call, e-mail etc. from the sick person to their employer is sufficient notification of illness

The exceptions:

  • The eAU procedure only applies to employees with statutory health insurance
  • There is no comparable procedure for privately insured persons
  • Not every "incapacity for work" is reported via an eAU! The exceptions include
  • Rehabilitation measures
  • Determination of an AU abroad
  • Private medical treatment of a person with statutory health insurance

What does this mean in practice?

  • The eAU goes from the doctor providing the service to the health insurance fund
  • The eAU may not be immediately available for retrieval on the server
  • e.g. not directly on the day of the sick note by the doctor
  • After an eAU retrieval, it may take several days before the eAU is available on the system (server)
  • An unsuccessful eAU retrieval can be repeated for the same person after two weeks at the earliest

  • Payroll programs often only run at the end of the month
  • SMEs, for example, do not use payroll software, but often outsource payroll accounting.
  • This means that the companies do not receive any feedback as to whether the employee was actually on sick leave
  • For example, a solution must be found with the tax advisor so that they can retrieve the eAU for the company -> costs?
  • Most customers are already familiar with timeCard handling
  • In the calendars of the booking overview, the current status of the eAU query is displayed in color as usual
  • The notification function informs the relevant persons depending on the notification profile
  • e.g. employee, supervisor, HR employee
  • The status of each eAU can be evaluated accordingly via the report generator

If a worker falls ill, your company must always react flexibly and fill the gap in the best possible way. It is therefore particularly important that the absent employee recovers as quickly as possible.

The yellow slip of paper has finally had its day!

From July 1, 2023, the health insurance funds will automatically receive the AU from contract doctors and hospitals and employers will be able to access them.

This requires access to the eAU data exchange via an interface. timeCard time recording from REINER SCT offers this interface and ensures a smooth process.
